Daily summary
The dashboard summary shows, for the selected date range:
- Total clock-ins
- Late arrivals
- Overtime hours
- Pending approvals
Use the location dropdown to filter to a single branch or view all locations together.
Attendance table
Below the summary you'll see a row per employee with their clock-in, clock-out, and status (on time, late, overtime). Sort and filter to find a specific person or shift.
Exporting
Click Export and pick a format. The default, Standard Excel, is the payroll-ready .xlsx workbook described below; the other presets reshape the same data for a specific destination — your accountant's spreadsheet or another payroll tool. Exports honor the active date range and location selection.
The standard workbook contains one sheet per employee. Each sheet includes the selected date range up to today, with a row for every clocked shift and scheduled day the system can evaluate.
Columns included:
- In Date, Clock In, Out Date, and Clock Out — the recorded attendance timestamps in the location timezone.
- Schedule — the assigned shift time,
Rest Day, orOpen Hour. - Working Hours — the actual hours between clock-in and clock-out.
- Approved Hours — the payable hours ClockTap calculates after late arrivals, undertime, approved leave, and approved overtime.
- Status — on-time, late, undertime, absent, rest day, open hour, or leave status.
- Day Type — the pay category of the day:
Ordinary,Rest Day, a holiday type, or a combination likeRegular Holiday + Rest Day. - Late (hrs) — late arrival plus undertime, shown as decimal hours.
- Overtime (hrs), Overtime Type, and Overtime Status — overtime amount, whether it is regular or rest-day overtime, and whether it is approved, pending, or rejected.
- Night (hrs) and Night OT (hrs) — payable hours that fall inside the location's night window (night differential), split into regular and overtime. Configure the window in the location's Grace Period/OT settings; the default is 10:00pm–6:00am.
- Holiday and Holiday Type — matching location holidays and their classification.
Holiday rows are highlighted in yellow, rest-day rows are highlighted in blue, and each employee sheet ends with Total Working Hours, Total Approved OT, and Total Paid Leave rows, followed by a Pay Categories table — the same counted hours regrouped by day type with Regular, OT, Night, and Night OT columns, ready for rate multipliers.
Export presets
Every preset exports the same counted hours; only the layout changes. Hours are always labeled buckets — ClockTap never computes pay amounts.
Accountant Spreadsheet (PH)
An .xlsx with one row per employee for the whole period, columns matching the layout PH bookkeepers typically use: Location, Employee Code, Employee, Period Start, Period End, Regular Hrs, OT Hrs, Night Diff Hrs, Night Diff OT Hrs, Rest Day Hrs, Regular Holiday Hrs, Special Holiday Hrs, Paid Leave Hrs, Total Approved Hrs, Total Approved OT Hrs.
Notes on the bucketing:
- A special working holiday carries no pay premium, so its hours count under
Regular Hrs. - Hours worked on a rest day that is also a premium holiday appear under the holiday column. The standard Excel workbook keeps the full combination split (e.g.
Regular Holiday + Rest Day) if your accountant needs it.
Generic CSV
A flat, machine-readable .csv with one row per employee per day and every field ClockTap tracks — dates in YYYY-MM-DD, one column per fact. Use this to feed any tool the other presets don't cover.
QuickBooks Time CSV
Time entries formatted for QuickBooks timesheet import: Employee, Date (MM/DD/YYYY), Duration (decimal hours), Notes. Approved regular hours and approved overtime come out as separate lines; days with nothing payable are skipped. Column order can vary by QuickBooks product — check the file against your import template before the first run.
Sprout-compatible CSV
Attendance rows for shops that keep payroll on Sprout: Employee Code, Employee Name, Date, Time In, Time Out, Regular Hours, Overtime Hours, Night Differential Hours, Late/Undertime Hours, Rest Day, Holiday Type, Remarks. Employees need an employee code set for Sprout to match them. This mapping has not been verified against a live Sprout account — compare the columns with your Sprout attendance import template and tell us what differs.
Pay categories (optional)
If everyone at your location is paid one flat rate, you can skip this — it is off by default and the export stays as described above.
Businesses that pay different rates for holidays, rest days, or night shifts can turn it on under Location settings → Pay categories. Once enabled, the payroll view and the export gain:
- Day Type — the pay category of the day:
Ordinary,Rest Day, a holiday type, or a combination likeRegular Holiday + Rest Day. - Night (hrs) and Night OT (hrs) — payable hours that fall inside the location's night window (night differential), split into regular and overtime. Set the window under Pay categories → Night differential; the Philippine default is 10:00pm–6:00am.
- A Pay Categories table per employee, under their totals, with one row per day type and Regular, OT, Night, and Night OT columns — the figures an accountant applies rate multipliers to.
ClockTap reports hours only. It never calculates pay amounts, premiums, or deductions — your payroll tool or accountant applies the rates.
